LAST WORKING DAY CHECKLIST
Before Resigning
If leaving to go to another company, make sure you have the offer letter in hand.
Review your employment contract for notice period, non-compete clauses, and exit terms.
Check your earned leave balance and understand company policy on leave encashment.
Verify gratuity eligibility (typically after 5 years of service) and calculate expected amount.
Print and save important documents like PF UAN, Form 16, tax-related files, and at least 3 months pay slips for future reference.
Download and backup performance reviews, appraisals, and appreciation emails.
File any pending expenses, claims, reimbursements, and reports.
Check and complete any pending training requirements or certifications.
Write a short transition document on projects/accounts you are working on.
Create documentation for recurring tasks, passwords (company-related), and process guides.
Gradually start taking home personal items that are in the office.
Draft your resignation mail/letter in advance and keep it professional.
Plan your finances for any gap period between jobs.
Inform close colleagues informally if appropriate (after informing management).
Day of Resigning / Serving Notice Period
Schedule 1-to-1 time with your boss/HR to submit resignation formally.
Know your notice period and send your resignation mail/letter appropriately.
Get written acknowledgment of your resignation from HR.
Agree on your last working day with your boss and HR.
Discuss final settlement details including salary, leave encashment, and gratuity.
Hand over all your pending tasks or KT to respective colleagues with proper documentation.
Create a detailed handover checklist and get sign-off from relevant stakeholders.
Continue delivering quality work to leave a lasting positive impression.
Complete all pending deliverables and close ongoing projects professionally.
Organize and label all work files, documents, and shared resources for easy access by others.
Wipe personal information from the laptop and keep backup of your files.
Remove personal accounts, unlink personal devices, and sign out from all company systems.
Return company credit cards and clear any outstanding dues or advances.
Complete your exit interview with your superiors and/or the HR department honestly but diplomatically.
Provide constructive feedback during exit interviews to help improve the organization.
Attend all handover meetings and be available for knowledge transfer sessions.
Update your team calendar and set up email auto-responders for after your last day.
Create a list of people you want to talk to before leaving.
Collect colleagues' contacts and network with your colleagues for future references.
Write thank you notes or messages to mentors, managers, and team members.
Submit company possessions such as locker keys, ID card, laptop, mobile, access cards, etc., on your last day.
Get clearance certificates from all departments (IT, Admin, Library, Facilities, etc.).
Send professional farewell emails expressing gratitude without burning bridges.
Take photos with team members for memories (if appropriate).
After Resigning
Verify final settlement amount including salary, leave encashment, bonus, and deductions.
Confirm full and final settlement has been credited to your account.
Collect experience letter, relieving letter, and service certificate from HR.
Get salary slips for the notice period and Form 16 for the financial year.
Transfer your Provident Fund (PF) to new employer or withdraw if eligible.
Update your UAN with new employer details or link to new PF account.
Address important administrative tasks like health insurance portability or COBRA.
Check if you need to purchase individual health insurance for any gap period.
Follow up with HR for any pending documentation or outstanding pay and expenses.
Ensure all gratuity payments have been processed if applicable.
Ask for a letter of recommendation from your manager or senior colleagues.
Update LinkedIn with new position and share your career move announcement professionally.
Update other professional social media profiles and portfolio websites.
Remove old company information from email signatures and professional documents.
File and organize all exit documents for future reference (tax filing, background verification, etc.).
Maintain professional relationships and connect with former colleagues on LinkedIn.
Keep HR contact details for future employment verification or reference checks.
Plan for tax implications of mid-year job change and consult CA if needed.
Send thank you message to HR and manager for smooth exit process.
Reset
